What we are proposing to try, what it costs, and what happens if it does not work.

One page you can forward, written for someone who was not in the meeting. It is not a sales document and there is nothing to sign at the end of it.

1. The problem

We cannot show, for one named person on one named date, what they were told and in what language.

We brief workers in English and record it on a sign-off sheet. A signature proves attendance. It does not show what language the briefing was in, or that the person understood it. Where much of the workforce reads Polish, Romanian, Lithuanian or Portuguese, that is the gap we cannot answer for.

2. What the pilot does

Sixty days, three sites, and a decision at the end of it.

  • A notice is written once in English. Every worker receives it on their own phone in the language they chose, video captions included.
  • Mandatory notices need a confirmation tap, which is only offered once the whole notice has been on screen.
  • We get a per-person record: who confirmed, when, and in which language. It prints, and it exports to CSV.
  • Workers join by scanning a card on the welfare cabin door: a mobile number and a texted code. No work email, no app store, no IT ticket.
  • Access ends on a leaving date. The confirmation record stays with us as our own safety record.
  • Data is held in the United Kingdom (AWS London, eu-west-2), with a data processing agreement.
3. What it costs

£2,500 plus VAT, fixed, for the whole 60 days.

The pilot

Fixed. Up to three sites and 250 workers, in every language they need. No set-up fee and no per-user charge.
If we go ahead
Credited in full
The whole £2,500 comes off year one if we sign within 30 days of the pilot ending. The year-one price is printed on the pilot paperwork.
Afterwards
£180 a site
Per site per month, up to 100 workers, however many languages: £2,160 a site for the year. Larger estates are priced in bands, never per seat.
4. What happens if it does not work

We get the money back.

The fee is refunded only if both criterion 1 and criterion 2 are missed: at least 70% of enrolled workers logged in within 14 days, and at least 85% confirmed receipt on mandatory notices within 72 hours. Both criteria are agreed in writing before launch day, and a refund is paid within 14 days of the day-60 meeting whether or not we go ahead.

Two further criteria are measured but are not refund triggers, because they depend on us: two posts per site per week, and a briefing record export our HSEQ lead accepts.

The measurement exclusions, so nobody is surprised. If more than 10% of the numbers we supply fail validation, criterion 1 is measured against the deliverable list. Excluded: sites where we have not published two posts a week, sites where the launch actions on our side are incomplete, and workers added in the final 14 days.

5. What it is not

It is not a rota, a timesheet, an induction, a competence or RAMS system, and it is not document control. There is no single sign-on today. Translation is machine translation, reviewed before publishing: fine for short, plain notices, not for contract wording. A confirmation proves an affirmative act, not comprehension.

On the legal point, stated the way the supplier states it: section 40 of the Health and Safety at Work etc. Act 1974 puts the burden on the employer to prove it did what was reasonably practicable. A per-person, timestamped, language-stamped confirmation is evidence for that. It is not a defence on its own, and it should not be bought as one.
